Privacy notice

This notice applies to the Caspian Cosmetics website.

What this notice covers

This notice covers this public website only: the pages you are reading and the inquiry form on the contact page.

It does not cover clinical records. Health information collected during an assessment or a treatment is handled separately, in person, under the clinic’s clinical process — not through this website.

What the inquiry form collects

The inquiry form asks for:

  • Your name — required, so a reply can be addressed to you.
  • Your email address — optional.
  • Your phone number — optional.
  • At least one of email or phone is required, because otherwise there is no way to answer you.
  • Your message — required.
  • A consent acknowledgement — a checkbox confirming you have read this notice and are content for the clinic to use your contact details to reply.

Nothing else is requested, and no account is created for you.

What you are asked not to send

The form carries a visible instruction not to include medical history, symptoms, photographs or other sensitive health information. Email is not a secure channel for that, and there is no clinical record attached to a website inquiry. If you need to discuss a health matter, please raise it in person at your appointment or by telephone.

Why it is collected

Your details are used for one purpose: to read your inquiry and reply to it. They are not used for marketing, they are not added to a mailing list, they are not combined with other data, and they are not sold or shared for advertising.

Bot protection

Every submission passes through Cloudflare Turnstile, a bot check that decides whether the submission looks automated. The contact page loads Cloudflare’s widget, which processes technical signals from your browser. When you submit the form, the server-side function asks Cloudflare to confirm the check, sending the widget’s one-time token and your IP address; Cloudflare’s answer is what decides whether the submission is accepted.

Who processes the information

The clinic uses a small number of established service providers. Each one processes information only so that this site and the clinic mailbox can work.

  • Cloudflare — hosts this website, delivers its pages, and provides the Turnstile bot check and the small server-side function that handles the form. Standard request information, such as your IP address, is processed as part of serving and protecting the site.
  • Resend — turns an accepted form submission into an email and delivers it to the clinic mailbox. Your name, contact details and message pass through this service in transit.
  • Google Workspace — provides the clinic mailbox where inquiry emails arrive and are read.
  • Google Calendar appointment scheduling — used for booking. It is a separate page hosted by Google, and it collects your name, your email address and optionally your phone number so it can confirm the appointment and send reminders. Booking there is governed by Google’s own terms and privacy notice as well as this one.

Following an external booking or ClassPass link takes you to a site the clinic does not control, and this notice does not apply once you are there.

Storage and retention

This website has no database and stores no submissions. There is no visitor account, no saved draft and no server-side copy of the form beyond the email it produces.

Inquiry emails are kept in the clinic mailbox for as long as they are needed to answer you and to keep a short record of the conversation, and are then deleted. Where an inquiry leads to treatment, any information that belongs in a clinical record is recorded through the clinical process, and the email itself is still deleted when it is no longer needed.

Cookies, analytics and tracking

This site uses no analytics cookies, advertising cookies or tracking cookies. There is no analytics product, advertising pixel or third-party tracking script on any page. Nothing you do on this site is profiled.

Asking about your information

You can ask the clinic to:

  • tell you what information it holds about you;
  • correct information that is wrong; or
  • delete an inquiry email you sent.

Write or call using the clinic email address and phone number at the end of this page, and say what you would like done. You may be asked a question or two to confirm who you are before information is sent to you.

If you are not satisfied with the response, you can raise the matter with the Information and Privacy Commissioner of Ontario, the independent office that oversees Ontario privacy law.

Changes to this notice

When the way this site handles information changes, this page is updated and the date below changes with it. The date is the single record of when the notice last changed.
